Privacy notice

How we handle personal information from this website and its enquiry form.

Last updated 23 October 2026.

Who we are

This website is operated by Warehouse Box Europe Ltd (“Warehouse Box”, “we”), registered in England and Wales with company number 09493092. Our registered office is 193a Ashley Road, Hale, Altrincham, England, WA15 9SQ. We are responsible for the personal information described in this notice.

For any privacy question or request, email hello@warehousebox.net.

This notice covers the public website and its enquiry form. If you become a customer, we explain how we handle customer information in our customer documents.

What we collect

When you send an enquiry, we receive your name, company and work email, which are required. You can also tell us about your website or store, the region you need, order volumes, product lines, returns, selling channels, customer destinations, the services you are interested in and anything else you write in your message.

Please only include what we need to understand your enquiry. Do not send passwords, payment card details, identity documents or sensitive personal information.

When you use the website, our hosting provider processes technical information such as your IP address, browser type and the pages requested, so the site can be delivered and protected. The enquiry form uses a scrambled (hashed) version of your IP address to limit repeated submissions.

How we use it and why

  • To reply to your enquiry, understand your requirements, decide whether we can help and prepare a quote.
  • To keep a record of our conversation while your enquiry is active.
  • To keep the website secure, prevent spam and fix problems.

Under UK and EU data protection law, our lawful basis is our legitimate interests: answering business enquiries you choose to send, assessing the services you ask about and protecting our website. We have considered these interests against your rights and keep the information we use to what is needed.

Sending an enquiry does not add you to a marketing list. We do not sell personal information, and we do not make decisions about you based solely on automated processing.

Who receives it

Enquiries arrive in our central business inbox, hello@warehousebox.net. One person at Warehouse Box looks after each enquiry. If your enquiry concerns fulfilment in Poland or the USA, we share the relevant details with the companies that operate our warehouses there, only so they can help answer it.

We use these service providers, who handle information on our behalf under data processing terms:

  • Vercel Inc. hosts the website and processes the enquiry form.
  • Resend delivers enquiry-form messages to our inbox.
  • Microsoft provides our business email (Microsoft 365, supplied through GoDaddy).

We may also share information with professional advisers, with authorities where the law requires it, or with a buyer if our business is sold, in which case your information stays protected under this notice.

Processing outside the UK and EEA

Vercel and Resend process and store information in the United States. If your enquiry concerns fulfilment in the USA, we send the relevant details to the company that operates our New York warehouse, because that is needed to answer your request. Microsoft may store email in the UK, the EU or the United States, depending on its service arrangements.

Where personal information is transferred outside the UK or the European Economic Area, it is protected by the providers’ data processing terms. These use the EU Standard Contractual Clauses, the UK International Data Transfer Addendum and, where a provider is certified, the EU-US Data Privacy Framework and its UK Extension. Email us if you would like more information about these safeguards.

How long we keep it

  • Enquiries that do not lead to working together: kept for up to 12 months after our last meaningful contact, then deleted, unless we need to keep something longer because of a legal obligation or an active dispute. We delete it sooner if it is no longer needed.
  • Enquiries that lead to working together: become part of our customer records, explained in our customer documents.
  • Email delivery records: Resend keeps copies of form messages and delivery logs for up to 30 days.
  • Spam protection: the hashed IP counter expires after 10 minutes.
  • Technical logs and backups: kept by our providers for limited periods set by their services, then removed.

“Meaningful contact” means a real conversation about your enquiry. An automated message, an email being opened or an administrative step does not restart the 12 months.

Your rights

Under UK and EU data protection law you can ask us to:

  • Give you a copy of the personal information we hold about you.
  • Correct information that is wrong or incomplete.
  • Delete your information.
  • Restrict how we use it.
  • Give you your information in a portable format, where this applies.

You can also object to our use of your information based on legitimate interests. We will stop unless we have compelling grounds to continue or need it for a legal claim.

Email hello@warehousebox.net to make a request. We reply within one month and may ask for information to confirm your identity. Please do not send identity documents unless we ask. If you are in the United States, you can make the same requests and we will respond in line with the law that applies to you.

Cookies

This website does not use cookies for analytics or advertising, and it does not use tracking pixels. If that changes, we will update this notice and ask for your consent where the law requires it.

Keeping information secure

The website is served over an encrypted connection. Access to our inbox is limited to the people who need it, and our providers apply their own security measures under their data processing terms.

Complaints

If you have a concern, please contact us first at hello@warehousebox.net so we can try to put it right.

You can also complain to a data protection authority. In the UK, that is the Information Commissioner’s Office. In the EU, you can contact the authority where you live, work or think the problem happened. In Poland, that is UODO, the Personal Data Protection Office.

Changes to this notice

We will update this page if the way we handle website information changes. The date at the top shows when it was last updated.
